KINGWOOD BAND BOOSTERS BOARD MEETING MINUTES
March 11, 2008
CALL TO ORDER: Jim Galegar called the meeting to order with a quorum at 7:10p.m.
APPROVAL OF MINUTES: Jerry Fotchman motioned to approve the 1/8/2008 and Saira Neely seconded the motion. The motion was approved.
TREASURER’S REPORT: Terri Gibson distributed the March, 2008 running budget. Report showed a Total Income of $3,192.50, Total Operating Costs $599.00, Total RMS Expenses $1,034.88, Total CMS Expenses $2,222.97, Total KMS Expenses $1,594.15 and Total KHS Expenses $6,196.16. She reported the Checking Account Funds $38,609.39, Savings Account Funds $53,928.69 for net available cash of $92,538.08. The Projected Year End Expenses are $342,425.00 and Projected End of Year Income is $311,900.00. Terri Gibson reported these are totals as of 3/9/08. Trip deposits have been made for air and hotel for 2009 trips to Chicago and Washington. We are in the process of collecting trip deposits. I received a lot by mail. Thursday we will be collecting before and after school. Jerry Fotchman moved to accept Treasurer’s report. Stephanie Romero seconded.
BY-LAWS: No report.
CONCESSIONS COORDINATORS: Stephanie Romero reported that shelves were built for storage at Turner. They will be reorganizing over Spring Break.
TURNER HOME/VISITOR CONCESSIONS MANAGERS: No Report.
K-9 & JV CONCESSIONSMANAGERS: No Report.
FOOD BUYERS: Patty Thirolf reported that they are free and clear on refunds. We turned in lots of money. Jim Galegar asked for the cost of cheese sauce. It was $49.00. We have 8 cases; 6 cans per case.
COKE/ICE MANAGER: No Report.
FUNDRAISING: Gary Estopinal reported inventory count not complete. We have polo shirts, hooded sweatshirts, hats at an estimated value of $7,071.00. This estimate may be a little high. I will have a full count by next meeting.
MEMBERSHIP: Jerry Fochtman reported no change in count. The cut off will be in the end of April.
VARSITY VOLUNTEER & CHAPERONE COORDINATORS: No Report.
VARSITY CONCESSIONS VOLUNTEERS: No Report.
K-9 CHAPERONES COORDINATOR: No report.
K-9 CONCESSIONS VOLUNTEERS: No Report.
NOMINATING COMMITTEE: Jerry Fotchman reported that he is making progress.
SCHOLARSHIP: Jerry Fotchman reported he received paperwork for the last outstanding scholarship
SPECIAL EVENTS: Jane Heron reported that we’re on target for banquet on May 30th at the Humble Civic Center. I’m still working on centerpieces. Volunteers, food and DJ are set. Lots of stuff needs to be moved into storage. The theme is “Cruising into the Future”. We’re going to have all sorts of cruise stuff, palm trees, leis, Terry as the captain.
WEBSITE: No report.
PUBLICITY: Karen Aszman got photos in two months ago and submitted a CD to Joseph Fotchman.
VARSITY TRIP: No trip scheduled for 2007-08 year.
KMS: No Report.
CMS: Ms. DeSpain said that they held a beginner band concert and 5th Graders were invited. We had door prizes and we had one 5th Grader get to conduct the brass quintet. The clinicians have been extremely helpful. The band did great because of the extra help. We’re going to Dolby High School on Friday and hope to get 2nd in State. Odds are good for them to be in San Antonio next year. Jim said we’re so glad the money for the clinicians has helped so much. UIL is on April 1-2 for middle school bands. After hard work recruiting we had 85 beginners sign up for a total of 120 for next year.
RMS: No Report.
KHS-9: No Report.
Sandy Dyer reported they had Solo & Ensemble. We had enough chaperones. Eight students did not check out properly. There will be hospitality snacks for April 4th. UIL will reimburse us for meals. We will provide meals for student volunteers.
Jerry Fotchman read a thank you note from Tyler Smoot who is a recipient of a band booster scholarship and is now at Baylor University.
KHS: Mr. Balch reported he was at a school board function where students were recognized for All State. We were very successful at UIL. We had 170 Class 1 in Ensemble and 68 Class 1 in Solo. Coming up we have Pre-UIL on the 27th at KPHS 6:00 – 9:30pm. UIL will be split in two days. Friday, April 4th will be Concert I & II at KPHS. Tuesday, April 8th will be Symphonic and Wind Ensemble at AHS. The rest of the calendar year will be coming out soon. Four different schedules will be sent out, one for each band. A lot are similar.
